How to make an employee Inactive when he/she resigns the job?


For any employee going to resign, the following steps are to be followed


  1. Update resignation details in Employee Master -> Set Resignation Status = Applied
  2. Enter the Settlement Date - This is the date till which salary is calculated and rest of the days are marked as LOP
  3. Resignation date is optional and may or may not be the same as the Settlement Date. Salary calculation is based only on Settlement Date
  4. Add Pay Adjustment to refund the Deposit if applicable.
  5. Run payroll for employee -> Payroll Mode = Final Settlement, Employee = Select the employee
  6. The salary would be calculated till the Settlement Date and rest would be considered as LOP
  7. Check and approve Payroll.
  8. Once payroll is approved, The employee is marked as INACTIVE in employee master and Resignation Status is Set to RESIGNED


Following this you can run a normal payroll for all employees and this employee would be skipped in that.
