A performance appraisal is a systematic and periodic process of measuring an individual's work performance against the established requirements of the job. It's a subjective evaluation of the employee's strengths and weaknesses, relative worth to the organization, and future development potential.
In HALERP, you can manage employee appraisal by the following steps
1. Setting up the Review template
In HAL ERP, you can create the Appraisal master and initiate the system for the review template to be filled either by Employees or managers or HR or with the combined inputs of all.
To create a review template, Go to Appraisal System->Appraisal Master->Create New
Name- is the name for the appraisal evaluation
HR year is the year or period in subject for the evaluation
End date is the deadline date for setting of the review template
Notify is set as NO by default and when set to YES, the manager and employees selected in the grid , will be sent an email with the content selected in 'Email Template'. This will be the email communication to notify the employees to set up the evaluation criteria within the deadline date.
Email Template- It is the template to be chosen for the initial communication to be sent to the employees for the review criteria setup.
Reminder Template- It is the email template to be selected for the reminder communications to be sent to the employees if the review criteria is not set up by the deadline.
Note: You can set up how or before how many days from the deadline, the reminder communications are to be sent to the employees, in the Appraisal Evaluation screen.
Add employee Grid- 'Manager'- You will have to select the manager employee under the 'Manager' drop down field and all the employees reporting under the manager will be listed in Add item grid and you can select the required or all the listed employees and add them to the appraisal evaluation process.
Once you have entered all the details and click on Add, for the appraisal master to be created.
2. Setting up the Evaluation criteria and Weightage
Once the appraisal master is created, the evaluation- criteria template can be set up by the HR with the weightage decided by the company for each of the evaluation criteria.
Go to Appraisal System- Setup appraisal criteria
Once the basic template is setup by the HR, you can set Notify=YES in the Appraisal Master form for the notification to be sent to the employees to fill in their appraisal criteria.
When the employee logs in, the appraisal criteria setup created for him/her will be visible for the employee to make the changes or add the appraisal criteria from his login. Once done , The 'Employee Approval' field can be set to YES so that the criteria can be viewed by the manager and make any changes if required and then can be approved for the HR to be notified to complete the criteria setup process.
3. Appraisal Evaluation
Once the review template is completed by all the employees, the HR can initiate the evaluation process by setting Notify=YES in the Appraisal master form with a new deadline date for the evaluation process.
Once the notification is sent, the employee can open the form and fill in the self evaluation and once done, can set the 'Evaluation completed' field to YES so that the corresponding manager will be notified to fill his evaluation for the employee.
Note: Once the Evaluation completed field is set to YES, the form will not be allowed to be edited.
Now when the manager logs in from his user, all the employees' evaluation form who report to him would be available and he can edit their form for his evaluation and once done , set 'Manager Approval' field to YES so that the HR is notified for further process and approval.
4. Employee Appraisal Print
Once all levels of approval is done, the final evaluation would be visible to the employee and he/she can take a print of the evaluation from Appraisal System->Employee Appraisal Print
