How to make Purchase Order for an Asset?

To Purchase an Asset, 3 steps needs to be done

1. Create PO:


Steps to Purchase an Asset via Vendor (using PO)

1. Create Purchase Order (PO)

  • Navigate to Purchase Order → Create New.

  • Select the Vendor (supplier from whom you are purchasing).

  • Fill in key details:

    • Date of PO.

    • Supplier name.

    • Payment Method (Bank transfer, Online transfer, Cash, etc.).

    • VAT (select applicable VAT % or "Zero" if not applicable).


2. Add Asset to PO

  • Click Add Items → filter Type = Asset.

  • Search for the asset (e.g., Lenovo Laptop you created in Asset Master).

  • Select the asset → Enter details:

    • Quantity (e.g., 5 laptops).

    • Description (specs like 15-inch screen, DDR3 RAM, 500GB HDD).

    • Unit Price (e.g., SAR 3,500 each).

  • System calculates Total = Quantity × Unit Price (e.g., 17,500).


3. Attach Quotation (Optional)

  • You can upload the supplier’s quotation for record-keeping.


4. Save & Generate PO

  • Click Update → Add.

  • System generates a PO Number (e.g., PO-175).

  • You can Print PO Layout → send to vendor.


5. Advance Payment (if applicable)

  • If vendor requires, process Advance Payment against PO.


✅ Now the PO is ready → Vendor will supply the laptops → Next step will be Goods Receipt (GRN) & then Invoice Booking → finally linking it to the Asset Master for capitalization.
