Overview:


The subscription module manages user subscriptions including setup plans, renewals, cancellations, and creating invoices. Its main role is to automate and streamline recurring billing and access control for subscription-based services.


How to create a subscription plan:

In order to create a new plan select: Subscription module => Subscription Plan => Create New:

  • Fill the required information and activate the plan.
  • Determine the plan type whether it will be REGULAR or ADD-ON.
  • Select the items for this plan and set the description and price as well (price can be changed when setup a subscription for a customer).

 


How to setup a customer’s subscription plan:

To setup a new subscription for a client select: Subscription module => Subscription Setup => Create New:

  • Select the customer from the list, and activate the status. 
  • Go to Subscription Billing Details and select the plan name from the list of plans which have been created previously. You may also select Add-On from the list according to the customer’s request.
  • Determine the Billing Frequency to invoice the client (monthly, quarterly, yearly…etc.) and set the start date, leave the end date EMPTY.
  • When selecting the plan, the items will be called automatically but you have to whether the plan component is recurring or not, as this will affect the invoice which will be generated. 
  • In the example below, the recurring charges QTY is set to => 5, that means total number of users are 5, and this will be reflecting in the field of “Number of Users” after saving the setup.
  • After saving the setup, click “Create Invoice” to generate the first invoice ONLY, as the invoices will be generated automatically according to the billing frequency.




  • At the end of the form after saving, you can check the subtotal and also the history for this client subscription:



How to change a plan or do upsells:

  • The plan can be changed by assigning another plan to the customer then all items will be set according to this new selected plan.
  • You can also do upsell for an existing customer by adding Add-On, or even change the plan amount. Please check below video as an example:

How to cancel subscription:

To cancel a subscription:

  • Set the subscription end date.
  • Change the subscription status to Churned. This way, the automatic invoice generation will stop and the status for this client will be changed.
